The Ink Society verwerkt persoonsgegevens. Hier willen we je graag verder over informeren.
In dit privacybeleid geven wij antwoord op de belangrijkste vragen over de verwerking van persoonsgegevens. Dit geldt zowel voor het bedrijf The Ink Society, als voor de zelfstandige tattoo-artiesten die bij ons werken.
Wat zijn persoonsgegevens?
Persoonsgegevens verstrekken informatie over jou, bijvoorbeeld je naam, adres en geboortedatum. Wanneer deze gegevens, of een combinatie hiervan, direct naar jou herleid kan worden, spreken we over persoonsgegevens. Voorbeelden hiervan zijn je adres of e-mailadres, maar bijvoorbeeld ook je voornaam in combinatie met je geboortedatum. Wanneer anderen die persoonsgegevens bewaren, moeten ze daar zorgvuldig mee omgaan. Daarnaast worden ook foto’s en video’s met jou erop, gezien als persoonsgegevens.
Verwerkt The Ink Society persoonsgegevens?
The Ink Society verwerkt persoonsgegevens van onze klanten en de klanten van de artiesten die bij The Ink Society werken. Wij administreren je naam, emailadres en telefoonnummer om bijvoorbeeld contact met je te onderhouden en je te informeren over jouw ontwerp of eventuele veranderingen m.b.t. jouw (tattoo) afspraken. Daarnaast zijn wij vanuit de GGD verplicht om jou een toestemmingsformulier te laten invullen en ondertekenen. In dit formulier wordt gevraagd naar meer persoonlijke informatie, zoals jouw woonadres, jouw geboortedatum en het documentnummer van paspoort, id-kaart of rijbewijs.
Verwerkt The Ink Society ook bijzondere persoonsgegevens?
Bijzondere persoonsgegevens zijn gevoelige gegevens, bijvoorbeeld over gezondheid, strafrechtelijk verleden, etnische gegevens of gegevens betreffende seksuele geaardheid. Wij verwerken alleen bijzondere persoonsgegevens als wij dit moeten doen op basis van de wet. In ons geval gaat het dan om de GGD en hygiëne reglementen die zijn opgenomen in de wet. Wij verzamelen deze gegevens omdat deze noodzakelijk zijn voor onze dienstverlening. Hiervoor vragen wij jou nadrukkelijk toestemming.
Waarom heeft The Ink Society al deze gegevens nodig?
De contactgegevens gebruiken wij uitsluitend om contact met je te houden over jouw afspraken bij ons en om de designs naar jou toe te sturen. De informatie die wij vragen in het toestemmingsformulier (medische informatie en extra persoonlijke informatie zoals geboortedatum e.d.) hebben wij enerzijds nodig om te kunnen bewijzen dat wij ons aan de wet houden. Zo is het bijvoorbeeld verboden om iemand onder de 16 te tatoeëren zonder de toestemming van de ouders. Via het toestemmingsformulier kunnen wij bewijzen dat wij ons aan de wet houden. Anderzijds is het voor ons belangrijk om bepaalde medische informatie over jou te weten zodat wij ons werk zo goed en veilig mogelijk kunnen doen. Als jij bijvoorbeeld een contactallergie hebt, of diabetes en de artiest die jou gaat tatoeëren is daar niet van op de hoogte, dan kan dit verstrekkende gevolgen hebben voor jou en, in sommige gevallen, ook de gezondheid van de tatoeëerders. Bloed overdraagbare ziekten zijn nog een reden dat we van onze klanten vragen het toestemmingsformulier naar waarheid in te vullen, omdat tijdens het tatoeëren bloed zal vrijkomen en derden hier aan bloot zullen worden gesteld en risico lopen. The Ink Society controleert actief of gegevens die van de wet niet mogen worden opgeslagen, zoals een BSN-nummer, niet worden genoteerd en opgeslagen in het toestemmingsformulier.
Hoe gaat The Ink Society met mijn persoonsgegevens om?
Je persoonsgegevens worden zorgvuldig en zo veilig mogelijk bewaard. Daarnaast worden deze gegevens ook niet langer dan noodzakelijk is voor normaal gebruik bewaard of verwerkt. Onder “normaal gebruik” wordt verstaan, gebruik van deze informatie voor het doel waarvoor naar deze informatie is gevraagd.
Jouw persoonsgegevens (voor-, achternaam, telefoonnummer en emailadres) staan in ons online administratieprogramma. Deze is goed beveiligd tegen hacken en virussen. Ook is deze beveiligd met een wisselend wachtwoord.
De toestemmingsformulieren vul je bij ons in de studio in via een QR code op je eigen smartphone. Je krijgt dit door jou ingevulde toestemmingsformulier als PDF document toegestuurd naar het e-mailadres, die je op de app hebt ingevuld. Wij ontvangen een kopie van dit PDF document die wij opslaan in een externe harddrive die is afgesloten met een wachtwoord.
Wie kan er bij mijn persoonsgegevens?
Jouw persoonsgegevens zijn enkel in te zien door de eigenaar en de werknemers van The Ink Society. Daarnaast kan deze informatie nodig zijn voor de artiest waar jij jouw afspraken mee hebt gemaakt. The Ink Society kan en mag geen gegevens uitwisselen met externe partijen. Daarnaast worden jouw persoonsgegevens alleen gebruikt voor contactmomenten omtrent jouw afspraken, bijvoorbeeld om een afspraak te maken of te verzetten, en contactmomenten omtrent het design (de artiest stuurt jou vaak per e-mail het ontwerp van de tatoeage toe). Wij maken geen gebruik van online marketingtools zoals nieuwsbrieven en/of andere promotiedoeleinden en gaan dat ook nooit doen. Echt niet? Echt niet!
Hoelang worden mijn gegevens bewaard?
De gegevens worden tot 3 jaar na je laatste afspraak bewaard.
Welke regels gelden bij de verwerking van persoonsgegevens?
Bij de verwerking van persoonsgegevens is The Ink Society gebonden aan de daarvoor geldende wet- en regelgeving.
Kan ik zien welke gegevens The Ink Society van mij verwerkt?
De persoonsgegevens die wij van jou verwerken zijn; jouw voor- en achternaam, telefoonnummer en e-mailadres. De hierboven genoemde bijzondere persoonsgegevens, vul je in op ons toestemmingsformulier op de tablet. Deze krijg je zelf automatisch toegestuurd als PDF document, nadat je deze hebt ingevuld.

The Ink Society processes personal data. We would like to inform you more about this.
In this Privacy Policy we will answer the most important questions about the processing of personal data. This is applicable to both the business that is The Ink Society, and the self-employed artists working for The Ink Society.
What is personal data?
Personal data is information concerning your person, i.e. your name, address and date of birth. When this information, or a combination of a few, can be traced back to you specifically we call this personal data or personal information. Examples of this are your address or email address, but also your first name combined with your date of birth. When others process and/or save this personal data in a database, they have to do so carefully. Photos and videos with your image are also seen as personal data.
Does The Ink Society process personal data?
The Ink Society processes the personal data of its customers and customers of the self-employed artists working at The Ink Society. We administer your name, email address and phone number to be able to stay in contact with you, and to contact you regarding (changes in) your appointment(s). Also, The Municipal Health Service (GGD) requires us to have you fill out and sign a consent form. In this form more of your personal data is requested, like your home address, your date of birth and the document number on your passport/European ID card or driver's license.
Does The Ink Society process sensitive personal data?
Sensitive personal data, is data about thing like your health, criminal activity, ethnic information or sexual orientation. The Ink Society only processes sensitive personal data that we have to under certain laws. In our case this concerns rules and regulations by The Municipal Health Service (GGD) and hygiene regulations as stated by law. We process this personal data because it is crucial for our service. We explicitly ask for your permission to do so.
Why does The Ink Society need all this information?
Your contact information is only used to stay in contact with you about your (future) appointments and to be able to send you things like tattoo designs and information. The information we ask you to fill out in our consent form (medical information and added personal information like your date of birth, etc.) is needed to prove we are adhering to the laws, rules and regulations.For example it is illegal to tattoo somebody under the age of 16 without parental consent. Through the consent forms we can prove we are abiding to the law. It is also important for us to know certain medical details about our customers so we can work as safely as possible. If for instance you have a contact allergy, or diabetes en the artist tattooing you is unaware of this, this can have far-reaching consequences for you, and in some cases also the health of our artists and employees. Blood-borne diseases are another reason we need people to fill out the consent form truthfully, as blood will be exposed during the process of tattooing and others will be at risk. The Ink Society actively checks if personal data that is not allowed to be stored by the law, i.e. your social security number, aren’t filled in and saved in the consent form.
How does The Ink Society handle my personal data?
You personal data is stored as carefully and safely as possible. This data is also only stored and processed for the needed duration of normal use. What we mean by “normal use” is using this information for the sole purpose we gathered it for.
Your personal data (first and last name, phone number and email address) are logged in our administration programme. This has been thoroughly secured against hacks and viruses. This is also secured with a frequently changing password.
You fill out the consent form on your own smartphone in our studio by scanning a QR code we provide you with. You will receive a PDF copy of your filled out consent form on the email address you filled in. We also receive a copy of this PDF which we save to an external harddrive that has been locked with a password.
Who can access my personal data?
Your personal data is only accessible by the owner and employees of The Ink Society. Additionally this information could be needed by the artist you have your appointment with. The Ink Society is not authorized to share your data with external parties. Additionally your data will only be used for being able to contact you concerning your appointment(s), i.e. making or moving an appointment, or contacting you about your tattoo design (the artist will often email you the design). We do not use online marketing tools like newsletters and/or other promotional purposes, and do not intend to do so in the future? Really? Really!
How long will my data be stored?
Your data will be stored up to 3 years after your last appointment.
Which rules apply to the processing of personal data?
The Ink Society is bound by the current laws and regulations concerning the processing of personal data.
Can I see which of my data is processed by The Ink Society?
The personal data we process are; your first and last name, your phone number and your email address. The aforementioned sensitive data is only filled out in our consent form by yourself. You will receive a copy of this form in PDF format in your email.
